Urgent email, only when it can wait no longer

Use case

You do not live in the inbox, including on weekends. OpenClaw checks mail on a timer, ignores senders you have already marked as noise, and pings a Telegram topic only when something needs you now. When you say an alert was wrong, the next check is stricter.

What to connect

Gmail, read-only, and a Telegram topic used only for urgent mail.

Setup

  1. Set WAKING_HOURS for the scan, and ALERT_WINDOW for when a ping is allowed to reach you. A useful start is scans from 8:00 to 22:00, with alerts on weekdays from 8:00 to 21:00 and weekends from 9:00 to 21:00.
  2. Put known noise senders in NOISE_SENDERS so they are dropped before any AI model call.
  3. Save the prompt as urgent-email and run it once by hand on a quiet inbox so you can see an empty result.
  4. When you correct an alert, confirm the reason was appended to urgent-email-notes.md.

Edit before you send: Scan hours, alert window, timezone, noise senders, and the Telegram topic.

Save this as a skill named urgent-email. Every 30 minutes during [8:00–22:00] [TIMEZONE], scan Gmail for mail since the last run. Drop [NOISE SENDERS] before you classify anything. Do not spend a model call on them. Urgent means I have to act before the next time I would normally open mail: a deal or contract waiting on my signature, a commitment I already made that is now blocking someone, or a failure that gets worse if it sits. Everything else waits for the daily briefing. Read urgent-email-notes.md before you classify. That file is my corrections. If a message is urgent: - Send one alert to the [URGENT EMAIL] Telegram topic with sender, subject, the ask, and why it cannot wait. - Send that alert only inside [ALERT WINDOW]. Outside the window, hold it and deliver it at the next open edge. Say it was held. - Do not send, archive, or label the message. If I reply that an alert was or was not urgent, append the reason to urgent-email-notes.md and use it next time. If nothing is urgent, stay quiet.

More OpenClaw prompts

  • Personal CRM from mail and calendar

A year of email and meetings is a pile of names you cannot search. OpenClaw reads Gmail and Google Calendar, drops newsletters and cold pitches, and keeps a local profile for each person worth remembering. You ask in plain language who you know at a company, or who has gone quiet.

  • Meeting action items with an approval queue

Meetings end and the promises disappear. OpenClaw waits until a meeting is over, pulls the Fathom transcript, matches the room to your CRM, and sends you each action item to approve. Approved items become Todoist tasks. Things other people owe you stay on a waiting-on list, except people on your own team.

  • Knowledge base you fill from a Telegram topic

Links you meant to remember are scattered across chats. You drop a URL into one Telegram topic. OpenClaw saves the article, the video transcript, the full post thread, or the PDF, then you ask later in plain language. A new save can point at something you already kept.

  • Nightly business council

The numbers live in ten different tools, so the pattern stays invisible. Once a night, eight specialists each read only the slice that matches their job, in parallel, and a synthesizer turns that into a short numbered list. You reply with a number when you want the longer version, and you approve or reject so the next night fits you better.
